Minutes of the Friends of the Museum & History Center Board Meeting

30 November 2011, Museum and History Center

The meeting was called to order at 3:02 p.m. by Chairwoman Gerrie Colette.  Others present included board members Carol McNew, Bob Saulmon, Geoff Ormandy, Randy Brady, Barb Galloway, Curator Lisa Studts, and History Center staff member Natalie Bard.   Absent were Mary Lou Nelson, Ann Zielinski and Susan Ooton.

 The agenda was adopted as presented.

 Carol moved, with a second by Randy, to approve the minutes of the October 19, 2011.  All approved.

 In Ann’s absence, the treasurer’s report, as of October 31, 2011, was presented showing a checking account balance of $1,971.46, a cash box balance of $40.00 and a savings account balance of $9,518.44, for a total of $11,529.90.  Carol moved, with a second by Geoff, to accept the report.  All approved.

 The subject of the Jane Carpenter Historic Home cards was discussed and apparently all cards that were for sale at other locations around town are now back in the History center.  It was suggested that an attempt be made to offer the cards for sale at the various homes on the Zonta Club Home Tour this coming Sunday.  Carol moved, with a second by Geoff, to sell the remaining cards for $3.00 each or 10 for $20.00.  All approved. 

 Lisa presented a handout titled “Proposal for Friend’s Funds.”  One item in that proposal was the immediate need to buy supplies to properly store and preserve the Claar Negative Collection, which is comprised of 43,000 negatives and 300 photographs.  The estimated cost of this is $1,500.00.  Carol moved, with a second by Randy, to authorize the immediate transfer of that amount from the Friend’s funds to the Museum and History Center.   All approved.

 Other handouts discussed were: 1) the Approved 2011 Budget, with an amendment to include the $1500 for the Claar collection; 2) the Proposed 2012 Budget, with an attached memo of explanation from Ann; and, 3) an Updated project List for the Museum from Lisa.  Lisa said she will be pursuing grant funds for the Rudd House Restoration.   The main suggested revision to the 2012 budget spreadsheet was to increase the projected memberships to 30 individuals, 30 couples, 10 families, and 5 organizations.  Carol moved, with a second by Geoff, to accept the proposed 2012 budget with revisions. 

 Geoff discussed the lack of storage space that dictates how much the Museum can take in as donated articles.  Lisa acknowledged that efforts are made to only accept those things relating to local history and reject all other donations.   The Museum also needs a de-accession procedure to get rid of non-local items already in storage at the Museum.   

 The letter to be mailed before the annual meeting in January 2012 was presented by Randy.  Included with the letter will be the ballot for the 2012 Friend’s Board members and the Friend’s brochure which includes a membership renewal form.  Bob moved to increase the annual membership fee for organizations to $50.00, which was approved by consensus.

 There will be no meeting in December.  The next meeting will be the annual business meeting on Wednesday, January 25, 2012 at 6:30 pm at the Museum and History Center. 

 The meeting was adjourned at 4:10 p.m.
